Payment and Cancellation Policy
Sunday River Hotel Packages Only
New Brunswick and Quebec Canadian Spring Breaks
These policies are applicable to Sunday River Hotel spring break packages.  If these policies do not apply to your spring break booking, full details will be included in your booking confirmation. 
Non-spring break package policies will automatically be detailed in your booking confirmation

  • All units are allocated on a first come / first served basis. 
  • Requests for specific units and locations are on a best efforts basis.
  • A deposit of $100 US (or Canadian if paying the Canadian package price) per person is required at time of booking.
  • Units will be released in priority order to families who provide a deposit guarantee.
  • Booking a unit without a deposit does not guarantee a unit is being held.  Units are only held when a deposit guarantee is received and location is always on a best efforts basis.
  • Cancellations must be made in writing to the Van Wart Ski Groups Ltd. (email is acceptable).
  • Cancellations prior to November 1st are subject only to a $100 US (or Canadian equivalent) cancellation fee
  • Cancellations after November 1st but prior to Sunday, January 8th will forfeit the $100 US (or Canadian equivalent) per person deposit.
  • Cancellations on or after Sunday, January 8th but prior to Sunday, February 19th will forfeit 50% of the package price.
  • Cancellations on or after Sunday, February 19th will forfeit 100% of the full package price.
  • Any refunds applicable due to package changes will be processed by the end of the month the change occured.  For cancellations, once approved, refunds will be processed on the last business day of the month the cancellation was approved for payment of a partial refund.
  • Failure to finalize full payment by February 1st may result in a $50 US (or Cdn equivalent) Administration fee if the Van Wart Ski Vacations is required to follow-up for balance of payment for submission to the resort after February 1st.  VanWart Ski Vacations reserves the right to cancel bookings for non-payment by established payment due dates and any deposit will be forfeited.
  • Due to contracts in place with unit owners, and the need to manage demand for units, there can be no exceptions to our cancellation policy.  We recommend you consider trip cancellation insurance and/or trip medical insurances.  If you do not have an independent provider, please refer to our FAQ's or you may obtain an independent quote through RBC Insuarnace at the following link:  www.vanwartgroups.com/Ski.html.
  • All resorts and the Van Wart Ski Vacations reserve the right to change pricing or features on any package at any time prior to receipt of a deposit guarantee.  Once a deposit guarantee is in place, there will be no changes to the package pricing or features offered unless mutually agreed to by the booking family and Van Wart Ski Groups
  • If you have booked a customized package for some time other than during a Canadian spring break vacation, your confirmation will have specific deposit and  cancellation requirements.
  • All 2 Bedroom Hotel suites are confirmed through special order only. Any cancellations once a deposit is made will forfeit 100% of the deposit amount if cancelled prior to February 26th.  Cancellations on or after February 19th forfeit the entire package subject to any success the Van Wart Ski Vacations may have to make a partial recovery for lift passes.  Cancellations made on or after March 3rd will not receive any partial refund for lift passes and the entire package price will be forfeited.
  • Your paid confirmation is your contract.  Neither the VanWart Ski Vacations nor any of our resorts will rely upon any verbal representations or claims that are not included with your confirmation. 
  • All changes, amendments and representations must be in writing and acknowledged by the VanWart Ski Vacations.  
  • By making payment, you agree to the waiver of signatures required.

Sunday River no longer manages condos, some condos managed by our US partner agencies are priced based on a weekly rental rate for the unit, regardless of numbers of guests. 

Guest Age Categories

Lift passes are based on the age of the skier at time of booking.  Since all resorts have their own category of guest (ie Adult, Young Adult, Junior, Children), it is impossible to provide a complete breakdown for every possible package type.
